Privacy Policy

Your information. Handled with purpose and care.

Protential Aesthetics respects your privacy. This notice explains the information collected through this website and related enquiries, how it is used, and the rights available to you.

Who is responsible for your information?

Protential Aesthetics is responsible for personal information handled through this website and related enquiries. For privacy questions or to exercise your rights, email protentialaesthetics@gmail.com.

Information we may collect

When you contact us or use this website, the information involved may include:

– Your name, email address and telephone number.
– Your preferred clinic in Brigg or Lincoln and the service you are interested in.
– Information you choose to include in your message.
– Correspondence about your enquiry or appointment arrangements.
– Technical information such as your IP address, browser and device details, and website access records.
– Cookie preferences and related consent records where applicable.

Please do not include medical history, health information or clinical photographs in the general website enquiry form. Information needed for a clinical consultation should be provided through the appropriate consultation process. This notice concerns website enquiries; information about clinical records should be provided when clinical information is collected.

How we use your information

Personal information may be used to respond to your enquiry, understand which service and clinic your question relates to, discuss appointment arrangements, and maintain relevant correspondence. Technical information may be used to operate the website, maintain security and investigate technical problems. Information may also be used where necessary to meet legal obligations or establish, exercise or defend legal claims.

Providing contact details enables us to respond. Without the information needed to answer or arrange an appointment, we may be unable to complete your request. You do not need to provide clinical details to make a general enquiry.

Our lawful bases

For general enquiries and relevant correspondence, the basis is legitimate interests in answering requests and managing the practice's communications, taking account of your rights and reasonable expectations. When you ask us to take steps towards arranging a service, the basis is taking steps at your request before entering a contract; information needed to deliver an agreed service may be processed to perform that contract.

Where a legal duty requires processing, the basis is compliance with that obligation. Where processing requires your consent, including optional cookies where applicable, consent is the basis and may be withdrawn at any time. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

These bases do not by themselves authorise the use of health information. The relevant privacy information and conditions for clinical processing should be explained as part of the consultation process.

Cookies and website technology

Website technology may use cookies or similar storage for security, functionality and preference management. Optional analytics, advertising and third-party technologies require the appropriate legal basis and, where required, your consent before activation.

Use the website's cookie controls to manage available preferences. Information about the technologies used and their purposes is provided separately in the website's Cookie Information page.

Sharing information

Information may be shared where necessary with providers supporting website hosting, security, technical services and communications; with professional advisers where relevant; or with public authorities where disclosure is required by law. Any sharing should be limited to the information necessary for its purpose.

If you follow a link to a booking platform or social media service, that provider's privacy notice explains how it handles information through its service. External providers may act independently of Protential Aesthetics.

International transfers

Some service providers may process information outside the United Kingdom. Transfers must comply with applicable data protection requirements, including an appropriate transfer mechanism and safeguards where required. You may request details of any relevant transfers and safeguards from the practice.

How long information is retained

Enquiry correspondence is retained for the time needed to resolve the enquiry and manage any resulting appointment arrangements or ongoing correspondence. Relevant information may be kept longer where necessary for legal or regulatory obligations or to establish, exercise or defend legal claims.

The nature of the information, whether the enquiry remains active, any resulting service relationship and applicable obligations determine the retention period. Information that is no longer needed should be deleted or anonymised. Clinical record retention is addressed separately in the information provided for clinical care.

Your rights

Depending on the processing and applicable legal conditions, you may have the right to:

– Access your personal information.
– Correct inaccurate information.
– Request deletion.
– Restrict processing.
– Object to processing based on legitimate interests.
– Request transfer of eligible information.
– Withdraw consent where processing relies on consent.

We may need to verify your identity before acting on a request. Some rights are subject to exceptions, including where information must be retained to meet a legal obligation.

Complaints

You may raise a privacy concern by emailing protentialaesthetics@gmail.com. You also have the right to complain directly to the UK Information Commissioner's Office at https://ico.org.uk/make-a-complaint/.
